Steel Material Documents: Match the Certificate to the Supplied Parts

A quotation that says ‘material certificate included’ leaves an important question unanswered: which document will identify the material used for each supplied part? Before comparing prices, ask the supplier to describe the document package and the link between the incoming material and your finished-product schedule.

A: Incoming material document: C-A; B: Missing production-record mapping; C: Finished parts and bundles: B-1 / B-2
  • A — Incoming material document: C-A
  • B — Missing production-record mapping
  • C — Finished parts and bundles: B-1 / B-2

Original conceptual diagram, not to scale. C-A, B-1 and B-2 are fictional identifiers. Dashed links are questions to clarify, not verified traceability or an authenticated certificate.

Agree the document requirement before ordering

Record the product specification, material grade and required inspection-document type separately. EN 10204 concerns inspection documents for metallic products. A ‘3.1’ label does not name the steel grade. Do not request a document type by habit or assume it satisfies every destination: have the project’s responsible reviewer confirm the applicable order requirements. [1] [2]

Clarify who validates the document

Type 3.1 uses specific inspection results and validation by the manufacturer’s authorised inspection representative independent of manufacturing. It does not inherently mean third-party certification. If the order calls for Type 3.2, agree the inspection arrangement before supply; LRQA distinguishes Type 3.2 from services described as ‘intent of’ Type 3.2. Ask the reviewer to assess the proposed documents against the actual requirement. [2] [3]

Request a material-to-part mapping

For a floor-deck, purlin or roofing enquiry, ask how incoming material identifiers will be linked to production records, part or panel marks and bundle identifiers. A heat, coil, production batch and delivery bundle can serve different purposes: do not assume one number replaces every other identifier. Ask the supplier to explain its mapping, including how it handles mixed input materials or split bundles.

Use one example to expose a missing link

Illustrative purchasing example, not a ZY order: a certificate identifies input coil C-A, while a packing list names bundles B-1 and B-2. The documents have different identifiers but show no mapping. Ask which production record links C-A to the panel marks and quantities in each bundle. A shared product description or matching total weight does not answer that question. Keep the issue open until the agreed reviewer has enough evidence.

Separate material evidence from finished-product evidence

Ask what each document covers: incoming metal, a coating, a formed profile, a connection or the complete assembly. For example, record the requested base-metal thickness and coating evidence separately from the material grade. Route structural calculations, fixing details and any assembly-specific performance reports to their own review; do not use a material document as a substitute for those requirements.

Make delivery review practical

Agree the document submission stage, reviewer and discrepancy process before dispatch. Request a sample format where useful, clearly labelled as a sample rather than a certificate for the order. At delivery, compare the agreed schedule, bundle markings and document mapping. Preserve original documents and record questions, replies and approved changes separately. A worksheet organises this review; it does not authenticate a certificate or confirm acceptance of the goods.

  3. Document issuer, validator and proposed inspection arrangement
  4. Incoming heat, coil or other material identifiers and their meaning
  5. Production record, part marks, bundle identifiers and mapping method
  6. Separate thickness, coating, forming and assembly evidence required
  7. Document submission stage, responsible reviewer and unresolved discrepancies
  8. Sample versus order-specific documents; agreed changes and acceptance record

Send the proposed document list with the floor-deck, C/Z purlin or roofing schedule. Ask for confirmation of what can be supplied for the quoted configuration. This guide does not claim that any particular certificate or inspection service is already available for a ZY product.
